1. Acceptance of Terms

By accessing or using Shadow Checkin, you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use the service. Shadow Checkin is operated by NomadEx and is intended for use by accommodation providers including hostels, guesthouses, and small hotels.

2. Service Description

Shadow Checkin provides a property management platform for small accommodations. It includes phone-based guest check-in with passport reading, bookings-inbox import (when you connect a Gmail or Outlook account), Shadow — an assistant that drafts reports and proposes pre-registered arrivals for your approval — staff management, operational dashboards, and one-tap police report generation.

3. Account Responsibilities

You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must provide accurate property and contact information. You are responsible for ensuring that staff members added to your property comply with these terms.

4. Acceptable Use

You agree to use Shadow Checkin only for lawful purposes related to accommodation management. You must not misuse the blacklist system, upload fraudulent guest data, attempt to access other properties' data, or interfere with the operation of the service. If you connect a third-party account (such as a bookings inbox), you authorize Shadow Checkin to read the messages necessary to identify and pre-register guest reservations on your behalf, and nothing else.

5. Shadow

Shadow drafts reports, proposes pre-registered arrivals from your bookings inbox, and surfaces operational suggestions. Every output is advisory — Shadow does not send messages, modify guest data, or take actions on your property until a member of your team explicitly approves the action. You and your staff retain full control and responsibility for everything that leaves the system.

6. Billing and Cancellation

After the free trial period, a monthly subscription fee applies per property. You may cancel at any time through the Settings page. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial months.

7. Data and Privacy

Your use of Shadow Checkin is also governed by our Privacy Policy. You retain ownership of your property data. We process guest data on your behalf and implement appropriate security measures including encryption and row-level access controls.

8. Limitation of Liability

Shadow Checkin is provided "as is" without warranties of any kind. We are not liable for any losses arising from OTA sync delays, AI suggestion inaccuracies, or service interruptions. Our total liability is limited to the fees you have paid in the preceding 12 months.

9. Changes to Terms

We may update these terms from time to time. Material changes will be communicated via email or in-app notification. Continued use of the service after changes constitutes acceptance of the updated terms.
